Step-by-Step: Deploying an AI Agent in 7 Days (What to Expect)
The exact 7-day sequence from the free 30-minute consult to your AI agent going live — what you provide, what we build, what approvals look like, and how integrations happen with your CRM.
The first question most solo agents ask isn't "what does the agent do" — it's "how long until it's actually doing it."
This is the day-by-day sequence from the free 30-minute consult to your agent going live. No hand-waving, no "we'll get back to you with a timeline." Here's the exact flow.
Day 0: The 30-minute consult
The consult is a working session, not a sales call. We walk through:
- Your current week — what eats your time, what's manual, what you hate doing.
- Your deal mix — buyer-side, listing-side, both. Volume, average price point, geography.
- Your tech stack — CRM (kvCORE, Follow Up Boss, LionDesk, etc.), email tool, transaction management platform.
- One workflow to deploy first — based on where the highest time savings live.
At the end of the call, you have a written scope: which workflow we're building, what it will and won't do, what we need from you, and the 7-day timeline.
No commitment yet. You walk away with the scope doc, mull it over, sign off when ready.
Day 1: Account setup + CRM access
Once you sign off, we send:
- A secure form for your CRM credentials (or a guided session where we walk through it together).
- A template intake — your existing listing copy samples, your best-performing email templates, your sphere-warming cadence if you have one.
- A workflow config form — the specific prompts, the tone, the guardrails.
You provide:
- CRM access (read + write, scoped to your account only).
- 3–5 samples of your existing copy in whatever format you have them.
- Approval authority — usually you, sometimes a TC or assistant.
By end of Day 1, we have everything we need to start building.
Day 2–3: Build the core agent
The build team configures your agent against your CRM, your templates, and the workflow scope. This is where most of the work happens:
- Prompt engineering — the agent's voice, your brand language, the structure it produces output in.
- Integration setup — the agent connects to your CRM (read contacts, write notes, trigger sequences) and your email/SMS tool (send on your behalf with approval).
- Workflow logic — the steps the agent takes when given a specific input (new lead, new listing, contract PDF, showing request).
- Guardrails — fair-housing compliance, broker approval checkpoints, "ask the agent before sending" rules.
By end of Day 3, you have a working agent running against a sandbox copy of your CRM. It hasn't touched your real data yet.
Day 4: First review + tuning pass
You log into the agent's interface (or join a 30-minute working session) and run it through 5–10 real scenarios from your actual week:
- A new lead comes in from Zillow. What does the agent draft for the first touch?
- A new listing goes live. What does the agent draft for the MLS description?
- A contract comes in. What does the agent flag in the redline pass?
- A buyer requests a showing. What does the agent confirm?
- An old lead goes quiet for 60 days. What does the agent draft for the re-engagement?
You give feedback. The agent gets tuned. Usually 1–2 rounds of edits on Day 4 to nail your voice and your edge cases.
Day 5: Production cutover + approval workflow
The agent moves from sandbox to your live CRM. Your approval workflow goes live:
- Auto-send thresholds — for routine touches (showing confirmations, basic follow-up), the agent sends and notifies you.
- Approval-required thresholds — for anything client-facing in tone (listing copy, contract language, lead re-engagement), the agent drafts, you approve, it sends.
- Stop conditions — if the agent encounters anything outside its scope (a complaint, a negotiation, a complex question), it escalates to you with a draft response and a clear "needs your eyes" flag.
By end of Day 5, the agent is in production but every output still passes through you for the first 48 hours.
Day 6: Real-world run + monitoring
You stop babysitting and let the agent run against real inputs:
- New leads that came in overnight.
- Listings going live this week.
- Contracts in your pipeline.
You review what the agent produced, flag anything off, and the agent learns your preferences. Most agents see 2–3 small tuning tweaks on Day 6.
Day 7: Live + handoff
The agent is live. The handoff call covers:
- How to use the agent's interface day-to-day.
- How to add a new workflow (we'll usually queue 2–3 follow-ons from the initial consult).
- How monthly tuning works — what's in scope, what requires a new build.
- The escalation path — when something goes wrong, who do you email.
By the end of Day 7, you have a background process running against your CRM, producing your drafts, sending your routine touches, and surfacing only what needs your judgment.
What if it takes longer than 7 days?
Three things can push it:
- CRM quirks we didn't anticipate. Most CRMs are well-documented. Some have custom fields or workflows that need extra setup. Adds 1–2 days.
- You want more than one workflow in the first deploy. Two workflows in parallel: 8–10 days. Three: 10–14 days. We batch.
- Approval cycles on your end. If the broker needs to review the agent's outputs before they go client-facing, that adds time. We handle broker review on Day 4 typically.
We don't promise 7 days and then deliver 14. We promise 7 days for one workflow and adjust the scope up front if you want more.
What it costs
- Setup fee for the first workflow, billed once at sign-off.
- Monthly service starting at $59/month for the introductory plan (one workflow, full tuning, support). Multi-workflow plans scale from there.
- No per-message or per-lead charges. You don't get surprised by usage fees.
The 30-minute consult is free and there's no obligation to deploy after.
What's next
If the timeline is what you needed to see, book the consult and we'll send you the calendar invite. If you want to read more about the workflows themselves before scheduling, the listing-copy deep dive and CMA automation post are good starting points.
Frequently asked
How long does it actually take to deploy a GRPID AI agent?+
Seven business days from the consult to live. That's the realistic timeline for a single workflow. Most agents deploy two or three in the first 7–10 days, batched in parallel.
Do I need to provide any technical setup on my end?+
Just CRM access credentials and a list of your existing templates (listing copy, email sequences, follow-up scripts). The build team handles the rest. No code, no servers, no API keys for you to manage.
What if I want to change something after the agent is live?+
Tuning is part of the monthly service. Prompt edits, new workflow additions, voice adjustments — covered in your monthly fee. Most agents iterate 3–5 times in the first 60 days.
